ALLOCATING POST TYPES TO A DIFFERENT FOLIO SPLIT

When you look at the guest's folio that had their charges allocated to another guest (using the Folio Definitions tab on the Stay record), the system will show the post types that have been reallocated and to whom.

When you look at the folio that the charges were allocated to (using the Folio Definitions tab on the Stay record), the system will show the post types that have been reallocated to them and from whom.

Each stay record can have an unlimited number of folio "Splits" (set up under the *Shares/Splits* tab of the Folio screen). Once additional folios have been set up, they appear in the list located to the left of the main Folio screen.

Using the allocation function along with the configured folios, you can pre-determine what post types (charges) should go to which folio.

By default all charges go to the "Main" (original) Folio.

 

To send new postings to a folio other than the Main folio:

 

This is done on the Folio screen. The Folio in question MUST have at least one split, other than the Main Folio, for this to be possible.

From the Folio list on the left, select the folio you want the charges to be routed TO (Folio#1, Folio#2, etc).

Click on the Show Add Posting Types button in the Charges Allocated from section of the Folio Definitions tab screen.

The Posting Type Allocation screen will open, showing the Folio to Allocate TO displayed at the top.

 Below that is the Select Posting Types to Allocate section: You need to select what should be allocated from the one folio to the other. There is a list of the Post Types you have set up at your Property.

If you have categorized your Post Types into Departments, you can use the Select Department drop-down list to filter which post types are shown.

You should select any Post Types you wish to be allocated by checking the box next to the listing. Use the checkboxes to identify which post types you want to be automatically charged to the folio you are currently viewing (the one you originally opened the folio for).

If ALL charges are being moved, click the orange button Select All.

To clear all check boxes, click the orange button Deselect All.

Once all the relevant post types to re-allocate have been selected, click the orange Save button.

Note: Taxes will follow postings automatically.

The screen will now display the message "Posting Type(s) have been allocated!"

Click the orange button <<Back to Stay to display the Folio screen once more.

Once the Post Types have been allocated from a particular Folio Split, they appear in the appropriate allocation lists on the Folio Definitions tab.

If you allocate a charge FROM a particular Folio Split, it will display in the Charges Allocated from section of the Folio Definitions tab screen for that split.

Note: In the OTHER Folio Splits it will display in the Charges Allocated to section, with details from where it came.

Note: These sections also SHOW allocations from other Folios, as well as from Folio splits.

It is the Room Allocation command which allows you to automatically send one guest's charges to another guest.

When a Group Master has been set up to receive post types, all of those charges will go to the group master. This takes precedence over individual charge routing from guest to guest.
